The Ontario Online Learning Consortium (“eCampusOntario”, “Digital Campus Canada”, “us”, “we”, “our”) is committed to protecting the privacy of your Personal Information (as defined below). This Privacy Policy describes why and how we collect, use and disclose Personal Information which you choose to provide to us on our website and portal (collectively, this “Website”). It also describes the rights and choices you have regarding your privacy.

Personal Information. “Personal Information” means any information that can specifically identify an individual, including their name, address, and telephone number, email address, age, gender, marital status, personal views, preferences and opinions. It may also include more technical information, but only when such information can be used to identify you.

Consent. By using our Website, you must agree with the terms of this Privacy Policy. Whenever you submit Personal Information to or via our Website, you consent to the collection, use, and disclosure of that Personal Information in accordance with this Privacy Policy. In some cases, at the time of collection of your Personal Information, we may provide you with additional information regarding the processing of your Personal Information. We may also, in certain circumstances, obtain your specific consent to the use or sharing of your Personal Information, including where required by law.

Collection of Information. eCampusOntario only collects Personal Information that is necessary to fulfil the purposes identified in this Privacy Policy, such as for any service or activity conducted with you, and to contact you with any communications you consent to receive. In addition, eCampusOntario only collects Personal Information that is voluntarily provided by a person in connection with their use of our Website and other services of eCampusOntario which requires such Personal Information.

What information we collect

eCampusOntario may collect the following Personal Information about you depending on your interactions with us (for example, if you are a Website visitor, a job applicant, a vendor, a student, or a member of our Communities of Practices):

  • Browsing activity, when you visit our Website. This information is collected through automated means, such as cookies, authorized tokens, web beacons, and similar technologies (“cookies”), and may include your Internet Protocol (IP) address, your device’s unique identifier, browser type, data about the web pages you have viewed on our Website, your language preferences, and email click-through and open rates.
  • Identifiers, such as your name, email address, mailing address, phone number, and any other information you provide to us.
  • Banking information, which includes the information listed above as well as your bank account or credit card numbers when you register to our online classes or other offerings, or when we pay you for a service.
  • Professional or employment-related information, which may include some of the information described above, as well as cover letters, your resume, references, and any other information you provided when you apply for a career opportunity at eCampusOntario.
  • Background checks. If you apply for a job, we may conduct a background check with your consent. We may also conduct a background check if required by applicable laws.
  • Any other information you provide to us, for example, when you contact us by email, phone, or in person.

How we collect information

We collect Personal Information in various ways, including directly from you, from third parties, and through our Website:

  • Directly from you, for example, when you subscribe to our newsletter, apply for a job, register to our classes, or contact us with an inquiry or report a problem with our Website.
  • From third parties with your consent, including for background checks.
  • Through our Website, which uses common, automatic data collection tools, such as cookies, embedded web links and web beacons. These tools collect standard information that the user’s browser sends to eCampusOntario through your use of the Website, such as the user’s browser type or the address of this Website from which they arrived. The tools may also collect information about the user’s IP address and user behaviors, such as the pages they view and the links they click.

Cookies are small files containing pieces of information that are stored by your browser on your computer’s hard drive. Most browsers automatically accept cookies, but if you prefer, you can set your browser to block them. Our cookies do not read data off your hard disk or read cookie files created by other sites. The only Personal Information our cookies contain is the information you provide yourself.

How your information is used

Use of Personal Information. Personal Information will only be used for the purpose for which it was collected. Unless the purpose is self-evident due to the nature of the transaction in question, eCampusOntario will identify the purposes for which Personal Information is collected at or before the time the Personal Information is collected. We may use your Personal Information for the following purposes or otherwise, with your consent or as permitted or required by law:

  • To manage our operations. We may use your Personal Information for general business purposes, such as ensuring the security of our systems and Website, responding to and complying with audits and other assessments, facilitating the sale of one or more parts of our operations, or reorganizing our operations.
  • To provide our services. We may use your Personal Information to provide you with our services, such as to register you to our professional development courses or when you become a member.
  • To recommend relevant products and content. We use your Personal Information (for example, the history of the pages you visited on our Website) to provide a personalized service, such as recommending relevant products and content on our Website.
  • To communicate with you, including for marketing purposes. We use Personal Information to communicate with you to provide relevant promotional content and other information about our products and services. You may choose not to receive promotional content. Instructions on how to unsubscribe will be provided in the emails through which you receive promotional content.
  • For research and development purposes. We may use Personal Information to conduct marketing and performance studies to evaluate and improve our services.
  • To process your application. We may use your Personal Information to process your requests for sponsorships or your job application.
  • For other purposes authorized or required by law. We will not use Personal Information for other purposes without your consent, unless authorized or required by law, for example, to comply with a legal obligation or to protect the rights, including property rights, and interests of eCampusOntario.

Disclosure of Personal Information. Personal Information will only be shared in the following situations, with your consent or in accordance with applicable laws:

  • Business partners. We may share your Personal Information with organizations, such as business partners with whom we work and/or who use our services, as permitted by applicable laws.
  • Service providers. We may share Personal Information with our service providers, suppliers, and other organizations that provide services to eCampusOntario for the purposes set out in this Privacy Policy (including for marketing campaigns, the administration of our Website and systems, and surveys and statistical data). Service providers that may receive Personal Information include backup and server hosting providers, software and IT maintenance providers, accountants, consultants, lawyers, notaries, audit firms, and security experts. We ensure by contractual means that the transferred Personal Information is used only for the purposes for which the service provider is retained and is protected to the same degree as it is when in our possession.
  • Sale, transfer, or financing of our business or other transactions. In the event of a sale or financing of all or substantially all of our assets, eCampusOntario may provide your Personal Information to the prospective buyer or a financial institution, which may use it solely for the purpose of evaluating the proposed transaction, or after acquiring the assets, for the operation and management of the acquired business, or for other purposes set forth in this Privacy Policy.
  • For other purposes permitted or required by law. We will not disclose Personal Information for other purposes without your consent, unless we are authorized or required to do so by law, for example, to respond to legal proceedings or requests from government authorities.

Cross-Border Transfers of Personal Information. Some of eCampusOntario’s service providers may access, process, or store your Personal Information outside the country where we are located and where you reside, including in Canada, the United States, Mexico, the European Union, the United Kingdom, Israel, India, and Australia. As a result, when your Personal Information is used or stored in a jurisdiction other than where you are residing, it may be subject to the law of this foreign jurisdiction, including any law permitting or requiring disclosure of the information to the government, government agencies, courts and law enforcement in that jurisdiction.

Rights and Choices. You have choices regarding how eCampusOntario processes your Personal Information.

  • Accessing and correcting your Personal Information. You may access your Personal Information and request the rectification of information that is inaccurate, incomplete or no longer up to date, subject to limited exceptions set out in applicable laws.
  • Withdrawal of your consent. You may withdraw your consent to the collection, use, and disclosure of your Personal Information in accordance with this Privacy Policy at any time upon reasonable notice in writing, subject to legal or contractual restrictions. The withdrawal of your consent may affect our ability to answer your inquiry and/or process your request. In certain situations, we may be entitled to retain your Personal Information in order to comply with applicable legal requirements, to establish, exercise or defend our rights or legal claims, and for other legitimate business purposes described in this Privacy Policy.

Retention of Personal Information. eCampusOntario will retain your Personal Information for as long as necessary to fulfill the purposes described in this Privacy Policy and to comply with our legal and regulatory obligations. Once no longer required, your Personal Information will be securely destroyed in accordance with legal requirements.

Changes to the Privacy Policy. eCampusOntario may make changes to this Privacy Policy from time to time at our sole discretion. Any changes we make will be effective when we post the revised policy on our Website. If we make any significant changes to the Privacy Policy, we will post a notice on our Website or contact you to inform you when required by law. By continuing to interact with us after the modified version of the Privacy Policy has been posted, you are accepting the changes to the Privacy Policy, subject to any additional requirements that may apply. It is your responsibility to ensure that you read, understand and accept the latest version of the Privacy Policy. The “Last Revised” date at the top of this Privacy Policy indicates when it was last updated.
